Setting up Mail to access your GMail account.

I received an email from Charles Pazos this past weekend asking how to set up Mail to check your GMail account. Here you go, Charles.

From Google’s help page :

Open Apple Mail.
Click ‘Mail,’ and select ‘Preferences…’

Open the ‘Accounts’ tab, and click the plus sign (+) along the bottom to add a new account.

Enter ‘pop.gmail.com’ in the ‘Incoming Mail Server:’ field.
Enter your Gmail username (including ‘@gmail.com’) in the ‘User Name:’ field.
Enter your Gmail password in the ‘Password:’ field.

Select ‘Add Server…’ from the pop-up labeled ‘Outgoing Mail Server,’ and enter ’smtp.gmail.com’ in the ‘Outgoing Mail Server:’ field.
Enter ‘587′ in the ‘Server port:’ field.

Check the box next to ‘Use Secure Sockets Layer (SSL).’
Select ‘Password’ next to ‘Authentication:’ and enter your Gmail username (including ‘@gmail.com) and Gmail password.
Click ‘OK.’
Click ‘Advanced’ and check the box next to ‘Use SSL.’ (The port changes to ‘995.’)

I’ve followed these directions for my two machines that I’ve set up GMail on, and had no problems. Good luck!

    Can you do the same for yahoo at all? only i have about four yahoo accounts that i want to bring together, but for some bizzare reason entourage doesn’t want to let me - only letting me on one of my yahoo accounts, and my hotmail account. So can you show the instructions for using mail with a yahoo account?

    Since Yahoo only has POP3 access for their paying customers, and I’m not one, I haven’t tested theirs like I have GMail’s.

    I’ve followed the steps but a weird thing keeps happening. I’ll click on get mail and it won’t pull down the new mail I have on my Gmail account. I can see the new mail using my normal Gmail account, it just isn’t being pulled down right away into my Apple Mail client.

    Any ideas?

    Are you able to download your GMail mail, only with a delay between the time it shows up in the webmail and when you’re able to download it into your Mail client? Or is it not downloading period?

    I am to eventually download it, but it could take several hours from when I can see it in on the web version of Gmail until I can access it on my Client (even after clicking on “get mail now”).

    I don’t have this problem with my .Mac or my Yahoo accounts… just Gmail. Very strange.

    All I want to do is set my “MAIL” so that it will send mail through my yahoo mail account. I’m perfectly happy using yahoo to manage my mail. But everytime I click on a mail address on the internet (mailto: etc…) it opens up “MAIL” . I’d like to be able to actually compose the message using MAIL and send it out through my yahoo account. But when I do this, I get a message saying, Error! Message could not be appended to the Outbox. and it doesn’t send it! Any ideas for a fix, or how I can make yahoo mail, not Aplle “Mail”, open when I click on a mailto address ??

    Hillel, I believe you must have a Yahoo “Pro” account or whatever their pay service is, to be able to have any sort of POP interaction with your Yahoo account.

    Since the mailto: links prompt for your default email program to open a new email compose window, rather than allowing you to open a specific webpage, the best way that I can think of to solve your problem is to upgrade your Yahoo account to a paid account, which will then allow you to have POP access, like Josh mentions. You can then set up Mail to use your Yahoo account to send and receive your email using Apple’s Mail.

    Actually I am a paying yahoo member, having their “mail plus” service. So I’d be grateful to hear from others who have actually set up Yahoo and Mail to talk to each other!
    I’ve trying to set up mail to send through my yahoo account, but with no luck. I keep getting an Error message saying that the message could not be appended to the Outbox. I’ve tried to follow the instructions on Yahoo about setting up Mail, but they don’t really support Mac setup. Here’s what I’ve got:
    account type: POP
    incoming Mail server: pop.mail.yahoo.com
    user id and password: mine
    Outgoing Mail Server (SMTP): smtp.mail.yahoo.com
    server port: 25
    SSL is unchecked
    authentification: none (though I also tried it with my user id and password typed in.

    still, I can’t use Mail to send messages! I keept getting that Outbox error! Also, mail coming in to Yahoo, never gets to Mail, though I don’t really care about that….

    I followed the instruction to set gmail into mail. But each time it asks the passord and then when enter password, the message comes saying password rejected ?

    Any ideas ?

    I’ll echo T.G. and take it one further. I have three user accounts on my Mac: one for me, one for my wife, and one for my daughter. All of us have gmail accounts, which I want to manage with Mail. My account works fine, both sending and receiving. My wife’s works fine. My daughter’s, however, will only receive mail. Whenever I attempt to send a message I get:

    The SMTP server “smtp.gmail.com” rejected the password for user “samanthaaldrich@gmail.com”

    Please re-enter your password, or cancel.

    Help?

    The main thing I can think of is to double-check the ports that you’re using.

    SMTP: Port 587, with “Use Secure Sockets Layer” checked.
    POP: Under the Advanced tab, set it for Port 995 and make sure “Use SSL” is checked.

    I just bought this mac…and i dont have a .mac account. I have highspeed internet access and i have always used hotmail or gmail. Can I use mail without getting a .mac account? Or does this just not work wihtout paying extra to use mail, either through .mac or gmail or hotmail?

    Georgia, I get this every now and then on one of our three family accounts. I don’t know what the issue is, but it seems to self-resolve. (Most of the ideas that I’ve heard are something like server congestion, perhaps at the gmail end.)

    You don’t need a paying account for yahoo pop access at all. I have a free yahoo mail account and i can access it through Outlook 2003 with no problems (after setting the outbound port to 587). You just gotta go into the mail options at mail.yahoo.com and enable the pop access …..

    Hey guys, it seems like i’m still running into the same problems with my Mac Mail as well. I have set it up to recieve gmail and it asks me to enter my password, than it keeps rejecting it just like previously mentioned. Anybody have ideas??? And is there a way to setup hotmail as well?

    Hello all, I’m also trying to get my Entourage 2004 mail system up and running and have had no problem setting up my Hotmail account or my university account, but I don’t understand how to get access to my Yahoo account.

    Alex how did you enable POP access in your Yahoo options? I see there are various ways to access things if you are using Outlook, did you do it through these options since you are using the Outlook system? I wonder if they have any settings for Entourage??

    Gmail won’t download at all ? I’ve been successfully using Apple Mail to download from my Gmail account - but over the last couple of days the process has dragged to a complete halt. I tell Apple Mail to “Get Mail” - the messages displayed then show that my password has been sent and that Mail is “preparing to receive messages.” This message remains for +/- 30 seconds, while the little wheel spins on the right side of the screen, and then — nothing. The process either has timed out, or errored out, or something - but no mail is downloaded. Once in a while it will say “Dowloading X out of 163 messages” - but it never downloads more than a few at a time. I can view my Gmail account via the web and see that there are a couple hundred messages there for me - but it seems like they never will download.
    Can anyone offer any suggestions? My account is configured exactly as specified at the beginning of this thread.

    Follow carefully all instruction

    Finally DO NOT FORGET THE LAST STEP
    (THIS IS IMPORTANT)
    Log in to your Gmail account.
    Click ‘Settings’ at the top of any Gmail page.
    Click ‘Forwarding and POP’ in the orange ‘Mail Settings’ box.
    Select ‘Enable POP for all mail’ or ‘Enable POP for mail that arrives from now on.’
    Choose the action you’d like your Gmail messages to take after they are accessed with POP.
    Configure your POP client* and click ‘Save Changes

    Thanks to those who have sent responses on configuring the GMail end of things.
    Unfortunately I had already done that.
    I can now see that I have 435 messages waiting for me on my GMail account, but Apple Mail will download maybe 5 of them at a time. To make this happen I have to manually click on “Get Mail” - sometimes several times per download. At this rate I may get everything downloaded by…Christmas.
    Any other suggestions?

    Regarding a Gmail pop3 delay- It does seem to be the case that mail arriving in your gmail webmail is there sometimes days before it is downloadable via pop3 - and yes I have configured my mail client correctly ;) Interesting point is that if you jump back into your gmail settings and select the “download all messages”(or some such) option the new mail (and sadly any old mail) is immediatley retrievable. - Looks like the issue has been raised though - see this entry in the google groups section: “http://groups.google.com/group/Gmail-Past-discussions/browse_thread/thread/35a673a47f9a281e/8b20345f713338ef?q=pop3+delay&rnum=10#8b20345f713338ef”

    Im a linux user not a mac user so I cant comment on Apple Mail - but everything used to work great on Evolution and Mozilla-Thunderbird.. (but now with the delay of course)

    I had the same problem and I tried this. So far, it seems to have worked:

    Go to your “Keychain access” in your Mac computer.

    Click at the top of the screen where it says “Window”

    Go down to where it says “Keychain First Aid” and click on that.

    Type in your password (for your Mac computer not the e-mail password)

    Then click on Verify and click Start.

    If the verification fails (as mine did) then click the button that says “Repair” and click “Start”

    That will fix something.

    I have had similar problems and have been looking at this for a while now. The strange thing is POP3 access to gmail servers when correctly configured (i.e. secure smtp on port 465 and pop on port 995, correct username etc..) works on my linux desktop and my powerbook. However when I change my gmail password it stops working and I have issues logging in for a period (error is usually unable to log into pop.gmail.com, incorrect user/password) which resolves itself after about a week.. smtp access is fine regardless of a password change so that doesnt help.

    Anyone else with the same issue after a password change? As I said everything else works fine.

    I was wondering if anyone has figured out how to set up a POP account through mail for hotmail accounts. I was a long time PC user and I just switched over to mac when I bought my macbook pro. I was used to being spoiled on the PC’s of having my hotmail imported into my outlook.

    If anyone knows how to get hotmail in, you would make my day!

    You should be able to make this work, if you’re using the paid version of Hotmail (aka Hotmail Plus), using the Httpmail plugin for Apple Mail.

    In order for this to work, you’ll need to first set Mail to open using Rosetta. To do this, make sure that you’ve quit out of Mail, then find and click once to select the icon for the Mail application inside the Applications folder. Once you’ve done that, choose “Get Info” from the File menu, tick the “Open using Rosetta” box then close the window. Once you’ve done that, install the Httpmail plugin and configure it according to the instructions that are provided along with the Httpmail plugin installer.

    why won’t my settings change in gmail. I am trying to set up to use entourage and it has partly worked but not all of my messages have been moved over and when I check that gmail is right it hasn’t saved preferences, it is strange. Also, I’ve tried sending myself a message from entourage and it goes to my gmail but not to entourage. Can anyone help with what I might be doing wrong.

    I dont use yahoo, but a quick look at their help pages suggests that you require the “Yahoo Mail Plus” service (which I assume you pay for..) Here is the extract:

    Q: Can I use Netscape, Eudora, or Outlook to send and read my Yahoo! Mail?
    A: Yes! Yahoo! Mail users can read their Yahoo! Mail messages in Netscape, Eudora, or Outlook by subscribing to the Yahoo! Mail Plus service. This service allows you to use Outlook, Eudora, or another POP3 client to access and manage your Yahoo!..

    If you are not a Mail Plus Subscriber I think you are out of luck. If you are then the following should work…

    POP3 server: pop.mail.yahoo.comPOP3 port: 110Mailbox: (my yahoo username)Password: (my yahoo password)

    Anyway, good luck.

    Right, you have to subscribe paid service of yahoo.com to use its POP3. But if you prepare to use free service, start sign-up new account from regional yahoo such as yahoo.com.sg yahoo.com.au yahoo.co.id etc. They still provide free POP3 service. Now you can alternately use your mail client apps. G’luck!

    Note to the above, this is true, however don’t rely on it to stay thet way… POP3 access is one of those really useful features that providers (including yahoo) offer until they get a decent userbase (some of whom use the facility), and then promptly drop it on “standard” accounts and charge for it by making you upgrade.

    Gmail is the better option (as long as you think that google are more ethical / less likley to change their T&C’s / not likley to start charging you for access) I use gmail have done for some time now, and if it stays how it is (and I think it will) then its the best there is.

    sorry for the plug, but its true, I trust google with my mail… Never trusted anyone else with it before.

    The only ways you’ll be able to download your Hotmail mail into Mail is to get Hotmail Plus, or use a forwarding program to forward your Hotmail mail to another separate (non-Hotmail) email address that can be accessed from Mail. Short of those two, you won’t be able to do what you want with Mail.

    I have 3 GMail accounts and have set them up to POP accounts onto my Apple Mail. They work great, but yesterday and they have all stopped allowing me to send out to the SMTP server. Asks me for password, I enter correctly and it says its incorrect!!. I am using a PowerBook and another MacBook, so its not computer settings. I have reinstalled all accounts using Googles set up instructions. No luck :-( Anybody else experiencing problems?

    If you ISP is blocking port 443 (https) then I suggest switching ISP, mainly because that is an absolutley stupid restriction. - Chances are its not your ISP doing th blocking - if you are using a shared connection I suggest speaking to whoever administrates it - they may be blocking https connections as they cannot inspect the content.

    If you want to access your gmail without using a secure web connection you will need to use an email client such as Mozilla Thunderbird, Outlook / Outlook express etc.. and configure it appropriatley (See the google help pages for more info) Accessing your mail in that manner is different from using the web based interface but still works fine.

    Here’s a plug-in for hotmail users I found,installed and have successfully used. Thank Goodness. Follow the directions on the web page. When you get to the link for the download page you will have to click on the file you want and pick a “mirror” just pick a company in your country. After you install the plug in you will have to use some common sense to get through the set-up process. You may have to go back into your mail preferences and do some additional tweeking. If I can get through it I’m sure you can. Good Luck. Here’s the link.

    I’m having a weird problem: I’ve set up the Gmail account in Mail all to spec and I was able to download emails that were received up to August 2006 and then nothing. I’ve sent test emails, but they can’t be received in Mail, but I can send perfectly fine.     I have a free yahoo mail account and can get my yhoo mail via outlook.

    My access to GMail using Apple Mail also started behaving badly the past few days - accessing the POP server taking ages and eventually timing out (though sending was fine).

    I discovered that by going to my GMail settings page using a web browser and switching *off* POP access, saving the settings, then turning it back *on*, saving the settings, fixed this problem.

    Not sure why this would make a difference but I thought others may want to give it a try.

    Iv just riecently purchased my mac and the Mail Function is great, and the one thing that would be absolutely amazing would be if i could do the same thing as the Gmail stuff with my orange email account.
    It is a POP account andi have managed to get the emails to get retreived outomaticly like the way mail retrieves from .MAC but i have the same thing were i cant seam to send any emails, it requires a password to work, but i dont seem to know how to get the right password.

    I have followed the tutorials and can not get mail to work with gmail. I have triple checked all settings, in mail and with gmail settings. The error that I get when sending an email or downloading mail is:
    “connection failed” The error encountered was: the server “pop.mail.com” on port xxx (587 and 995)have timed out. Any ideas to help me get this working?

    Assuming that you are using ssl, (and 993 is the right port so I assume you are) you should be good to go. The that you are seeing is a time out (rather than a rejection from the imap server) and therefore could be one of a few things.

    Firstly, make sure that you have web connectivity, and that any firewall or router etc.. allows connections on port 993, it is possible if you are on a non personal network (i.e. corporate, school etc..) that it is blocked, if it is, they you are likely to be stuck.

    I get that message “could not be appended to the outbox” sometimes using mail and my gmail account, my quick fix is to go into the message i am trying to send and delete all the old messages below. If a email thread gets to be too large, that is when i seem to get a problem. I delete everything previous to my email and the email i am replying too, all other text,formatting etc gets deleted, works great.

    I’m using gmail pop3 through outlook express. it’s working fine but the proble is only new upcoming maails are downloaded. but I also need the all previous mails that are already residing in my Gmail account.

    Is there any way to download those previous through Outlook Exoress or any other Email Client ??

    Hi; I followed all your fantastic instructions and set up my two gmail accounts to Mac Mail and all my emails were imported :D However Mail won’t let me send mail out; I get the following error: Cannot send message using the server stmp.gmail.com’. Anybody have any ideas with about this? I’d really appreciate some nerdy techie geniusness - I’m driven up the walls with it and am so sick of signing in and out of accounts for work every two minutes!

    With the latest version of Mail (possibly other earlier versions as well), just enter your gmail e-mail address and leave the option “Automatically setup account” checked. This option appears dynamically when you enter an e-mail address that the Mail application recognizes. Sending and receiving are a breeze!

    even tho i’m using imap, changing the port to 587 was all i needed to do. too bad i spent an hour trying everything else before i found this page. google only suggested ports 25 or 400 something for imap users, for some strange reason??? anyways, thanks a lot!

    I discovered that by going to my GMail settings page using a web browser and switching *off* POP access, saving the settings, then turning it back *on*, saving the settings, fixed this problem.
